IMPORTANT INFORMATION ABOUT OAKS FOR MEDICAID PROVIDERS
Beginning July 1 st 2007 Medicaid remittance advice will only be accessible via the Internet. The Ohio Department of Job & Family Services will no longer mail paper remittance advices with checks or Electronic Funds Transfer statements.
CareStar and the Bureau of Home & Community Services staff will not look up remittance advice (RA) for providers. Please do not call them about your remittance advice. Providers only choice is to establish an email address and access their RA from the ODJFS website. The automated voice response system will continue to operate and providers can access information about their checks as they always have.
Here is how a provider can access their Remittance Advice: go to the ODJFS web site at: http://jfs.ohio.gov/OHP/provider.stm and click on the link to “Remittance Advice”. On your first visit you will need to establish a password. To do this click on “I cannot access my account”. Enter your Medicaid Provider number in the “User ID” field and the last four digits of your Federal Tax ID Number in the “Password” field. You will be prompted to enter your name and e-mail address. You must have an e-mail address to establish your account. Once you have done this you will be prompted to change your password.
You can secure a free e-mail address at several websites, such as: mail.com, hotmail.com and Yahoo.com. You can choose from a list of over 30 free e-mail address sites at the following website: http://Fepg.net/webbased.html
Once you establish an e-mail address and your account, you will be able to view your remittance advices (beginning with the July 5, 2007 remittance advice). The files will be in Adobe .pdf format and will be downloadable to your computer. Receiving your remittance advice this way will give you these added benefits: Once downloaded your remittance advice is searchable; duplicate copies of your remittance are available immediately online; and multiple employees can access the remittance advice simultaneously.
There will be on-line assistance in the form of a help function. This website will be available beginning July 1 st. The first remittance advices will be posted on July 5 th and weekly thereafter.
Other important information:
- If you receive your Medicaid payment by electronic funds transfer (EFT), Effective July 5, 2007 your funds will be deposited on Thursdays, not Wednesday as they are now.
- If you receive payment by warrant (check) you will notice minor differences in the layout.
- Your HIPAA Compliant EDI 835 Remittance Advice will be issued on Thursdays. Please inform your trading partners.

New CMS 1500 Form
May, 2007
ODJFS has announced an implementation date for the new CMS 1500 form, version 08/05. Beginning with claims submitted on May 27, 2007, all providers who submit claims directly to Medicaid on a 1500 may use either form until further notice. The billing instructions for the old form have been revised and are effective with claims submitted on or after May 27, 2007. Revisions to the old form instructions appear in red.
Below, you will find the revised CMS 1500 billing instructions providers using the new 08/05 version of the CMS 1500 are to follow. NOTE: The new form can be used as of 5/27/07 regardless of date of service. The change has no impact on providers who utilize EDI vendors, with the exception of reporting NPI's for those who are required to obtain one.
Regardless of the form used, any provider who is required to use an NPI must begin using it on claims submitted on or after May 27, 2007. This applies to paper claims and EDI claims. Failure to follow the new instructions (either form) may result in claim denials or incorrect payment.
ODJFS no longer mails Medical Assistance Letters and updated program information to providers. Updates and new information is only available on-line and providers are responsible for checking for updates on their own
